E-Invoicing for business customers
From 1 January 2025, the receipt of e-invoices in accordance with DIN EN16931 will be mandatory in the B2B sector in Germany. GLS prepares the receipt and creation of e-invoices. A transitional period until 31 December 2026 still allows PDF or paper invoices. GLS plans to provide you with e-invoices from the first quarter of 2025.
Flexibility through ZUGFeRD and X-invoice
The ZUGFeRD format combines a human-readable PDF/A3 with an XML file so that invoices can be processed both manually and automatically. Customers receive the familiar layout, even if XML processing is not yet possible. The X-invoice, an XML-based format, enables fully automated processing and complies with EU Directive 2014/55/EU. GLS offers both formats on request.

- Invoice content is presented in a structured, machine-readable data record (unlike a paper invoice or PDF file). In Germany, there are two standard formats for e-invoices (standard EN-16931).

In which format will GLS create its B2B invoices?
GLS will use the ZUGFeRD 2.2 format as the standard for e-invoices.
Does GLS also offer the option of receiving X-invoices?
Yes, please get in touch with your GLS contact person if required.
Does the layout of the PDF of the ZUGFeRD e-invoice differ from the previous invoices?
No, the layout of the PDF remains identical to the current layout in the ZUGFeRD e-invoice.
How are electronic invoices transmitted?
E-invoices are sent to you electronically in the usual ways, i.e. by e-mail or by making them available in our customer portal or on an SFTP server.
If you have previously received your invoice via one of these channels and do not wish to make any changes, no action is required on your part. If you have set up a new input channel for automatic processing (e.g. a different e-mail address), please let us know in good time.
What do I have to do if I still want to receive a paper invoice?
Please let your GLS contact person know and we will of course take this into account for the transition period.
